BESCA Board Positions
The BESCA Board is a creative and collaborative team of elected parents who have volunteered to take on leadership roles at Booksin. Joining the BESCA Board allows you to use your talent and enthusiasm to foster an enriching and fun environment for our students while supporting a warm partnership with Booksin’s teachers and staff. President – 2 year term
The President serves as the leader of BESCA, overseeing its operations and working closely with the Principal, Assistant Principal, and front office staff to organize and coordinate all BESCA activities. This role ensures the completion of required paperwork and secures event spaces through Facilitron. In collaboration with the VP of Volunteers, the President appoints Program Leads and oversees the efforts of officers and committees to successfully execute BESCA programs and events. Key responsibilities include presiding over Board and General Membership meetings, setting the annual meeting schedule, preparing agendas, co-signing checks, and maintaining essential legal documents, district renewals, and insurance policies. Additionally, the President is the primary contact for the school’s corporate match programs, ensuring matching funds are accurately tracked and provided to the Treasurers for deposit. This role may also involve taking on other tasks as needed to support the association’s smooth operation.
Vice President of Communications – 1 year term
The VP of Communications manages BESCA communications, including email, Konstella all-school notices, and social media posts. They serve as Parliamentarian for the organization, utilizing Robert's Rules of Order or Democratic Rules of Order. In addition to oversight of select committees, they assist the President as needed and performs the duties of the President in his/her absence.
Vice President of Community Events – 1 year term
The VP of Community Events works with the President and school administration to schedule and coordinate various community events throughout the school year. They work closely with the VP of Communications to publicize events and the VP of Fundrasing to organize the fundraising aspect of individual events. In addition, they support and assist the program leads with planning and budgeting, under the guidance of the President and Treasurers. This position requires strong organization and follow through, willingness to collaborate and recruit help, and an ability to work within the event budget.
Vice President of Technology – 1 year term
The VP of Technology manages the backend of BESCA’s website and Konstella, our communication platform. They maintain the BESCA Board email and file storage system, create and update forms as needed, and maintain the product sales in the BESCA shop. Knowledge and a general understanding of Google Workspace and Squarespace is helpful but not required.
Vice President of Fundraising – 1 year term
The VP of Fundraising works closely with the President, VPs of Events, and Walkathon Chair(s) to coordinate and support BESCA's fundraising efforts, ensuring that all initiatives run smoothly and efficiently. Key responsibilities include supporting the parents leading the Auction, Sponsorship, and/or Fundraising committees; tracking fundraising progress and goals; promoting and publicizing fundraisers; and researching new fundraising opportunities.
Vice President of Volunteers – 1 year term
The VP of Volunteers supports parents with getting involved at Booksin. They work closely with President, VP of Events, and Program Leads to recruit and organize volunteers for BESCA’s programs and community events. In addition, they lead and coordinate the efforts of Room Parents by holding room parent meetings and organizing room parent communications.
Income Treasurer – 2 year term
The Income Treasurer works with the President and Expense Treasurer to create the annual budget and ensure that all financial checks and balances occur. They coordinate income procedures for events, organize BESCA’s annual financial review, and supports the Expense Treasurer as needed.
Expense Treasurer - 2 year term - The Expense Treasurer is responsible for financial record keeping of all BESCA expenses. The primary responsibilities include booking expenses, fulfilling reimbursements, handling expense checks, providing petty cash at events, financial reporting, reconciling monthly bank statements and auditing the BESCA deposits for accuracy.
Secretary – 1-year term
The Secretary manages BESCA’s Webex account and schedules meetings on behalf of BESCA. They work with the President to prepare agendas for upcoming meetings, keep record of attendance, and record/distribute the minutes for the Executive, Advisory, and General Membership Meetings. In addition, the Secretary maintains BESCA’s records.
